Who I am
This website is operated by Sarah Mallett, trading as Sarah Mallett Portraits ("I", "me", "my"), a UK-based portrait artist creating bespoke hand-drawn and hand-painted portraits. This policy explains what personal information I collect through this website and social media enquiries, why I collect it, and how it's used.
What information I collect
When you get in touch about a commission, I may collect:
- Your name and contact details (email address, or social media handle if you message me via Facebook or Instagram)
- Details you share about the portrait you'd like — subject, size, medium, and any preferences
- Reference photographs you send me to work from
- Delivery details, if a commission goes ahead (such as a postal address)
If you leave a review using the form on this website, I collect the name, star rating and review you enter, plus your email address and portrait details if you choose to add them.
I don't collect payment card details directly — payments are handled through the payment provider we agree on at the time (such as bank transfer or a payment link), and I don't store your card or banking information.
How I use your information
- To discuss and quote for a commission
- To create your portrait, using the reference photos you provide
- To arrange delivery or collection of the finished piece
- To respond to general enquiries
With your permission, I may also share a photo of the finished portrait (not your original reference photo) on my portfolio, gallery, or social media. I'll always ask before doing this, and you're welcome to say no.
Legal basis
I process your information on the basis of taking steps at your request prior to entering into a contract, and performing that contract once a commission is agreed. Where you contact me with a general enquiry, I rely on legitimate interest in responding to you.
Sharing your information
I don't sell or share your personal information with third parties for marketing purposes. If you contact me via Facebook, Instagram, or YouTube, that platform's own privacy policy also applies to how they handle your data during that conversation — I'd encourage you to review theirs alongside mine.
If a portrait needs to be shipped, I'll share only the necessary delivery details (name and address) with the courier or postal service used.
How long I keep your information
I keep enquiry details and reference photos for as long as needed to complete your commission and to handle any follow-up questions, and I delete or archive them once that's no longer necessary. If we don't go ahead with a commission, I won't hold onto your details longer than needed to close out the enquiry.
Reviews
Reviews sent through the website form are emailed to me and are not published automatically. I'll only show your review on this website if you tick the box giving permission, and only with the name you entered (such as your first name or initials) — your email address is never shown. If you'd like a review removed, just email me and I'll take it down.
Cookies and analytics
This website does not currently use cookies, analytics, or tracking tools of any kind. If that changes in future, this policy will be updated to reflect it.
Your rights
Under UK data protection law, you have the right to:
- Ask what personal information I hold about you
- Ask me to correct inaccurate information
- Ask me to delete your information, where I'm not required to keep it
- Object to how your information is used
To exercise any of these rights, or if you have any questions about this policy, please get in touch using the contact details below.
